It is one of the most common reasons a move day starts late, and it is almost always avoidable. This guide explains what a certificate of insurance for movers is, what buildings look for, and how to get one in hand before the truck shows up.

What Is a Certificate of Insurance for Movers?
A certificate of insurance, usually called a COI, is a one-page document that proves a moving company carries insurance. It is issued by the mover’s insurance agent or broker, and most are written on a standard form called the ACORD 25.
The certificate does not create coverage. It summarizes policies the mover already has, so a building manager can confirm the crew is insured before it rides the elevators, uses the loading dock, or carries furniture through the lobby. If something in a common area gets damaged, the building wants to know there is insurance behind the people who did it.
What a Mover’s COI Usually Shows
- The insured: the moving company’s legal name and address.
- Insurers and policy numbers: which companies write each policy.
- Coverage types: commonly general liability, commercial auto liability, and workers’ compensation, sometimes with an umbrella policy on top.
- Limits: the dollar amounts each policy covers.
- Policy dates: when each policy starts and ends. Your move date has to fall inside them.
- Certificate holder: the building, association, or management company receiving the certificate.
- Special wording: any additional insured or waiver of subrogation language the building asked for.
Certificate Holder vs. Additional Insured
These two terms trip up more COI requests than anything else. The certificate holder is simply the party that receives the certificate, usually the condo association or the property management company. Being a certificate holder does not give the building any coverage.
An additional insured is different. When a building asks to be named as an additional insured, it wants the mover’s liability policy extended to protect the building too. That takes an endorsement on the policy, so the mover’s insurance agent has to add it, and the building often specifies the exact names that must appear. If your building’s requirements mention additional insured status, pass that wording to your movers word for word.

How to Get a COI From Your Movers
- Ask your building for its requirements. Get the exact certificate holder name and address, any additional insured wording, the coverage limits, and a sample certificate if the office has one.
- Send the requirements when you book. Forward them to your movers as soon as the date is set, not the week of the move.
- Check both buildings. If you are leaving one managed building for another, each one usually wants its own certificate.
- Review the certificate. Make sure names, addresses, and the move date line up with what the building asked for.
- Confirm the building has it. Ask the manager to confirm the certificate is approved before move day, and keep a copy on your phone.
What Tampa Buildings Typically Ask For
Requirements vary from building to building, so the management office’s form is always the final word. In Tampa Bay, downtown towers, condos on Harbour Island, and newer apartment buildings tend to ask for a similar set of items:
- General liability coverage, usually with per-occurrence and aggregate limits set by the building
- Commercial auto liability for the moving truck
- Workers’ compensation for the crew
- The building, association, or management company named as additional insureds
- A reserved freight elevator window and loading dock time
- Set move hours, and sometimes a move fee or refundable deposit
The certificate is only one piece. A building that approves the COI can still turn a crew away if the elevator was not reserved, so book both at the same time. A COI Does Not Cover Your Belongings
This is the part most people miss. A certificate of insurance protects the building. It does not cover your furniture, boxes, or valuables. Protection for your belongings comes from the mover’s valuation coverage, which is a separate choice you make when you book.
For moves between states, federal rules require movers to offer two options: Full Value Protection, and a basic Released Value option that covers 60 cents per pound per article at no extra charge. Ask any mover which valuation options come with your move, and check whether your homeowners or renters policy adds anything on top.
